Policies

Release/Waiver

Every student who participates in a GEO-sponsored abroad program must (digitally) sign the Program Release Form (Statement of Responsibility, Release of Liability, and Agreement to Participate in a Vanderbilt University International Student Program). The form will be delivered to your GEO account after you have been approved to study on the program.

Program Withdrawal

If you must withdraw from your selected study abroad program after you have been accepted, your withdrawal will be governed by the Withdrawal Instructions and Policies, or by the Withdrawal Policy for Maymester programs, depending on which type of program the student is applying to.

Billing Policies and Procedures

PLEASE NOTE: Because this is a deposit, it will be credited to the student's Vanderbilt account for the semester of study. If students withdraw from their program after the withdrawal deadline set by GEO, they will forfeit the deposit, and the credit will be removed from their student account.

  1. Study Abroad Billing: Maymester, summer and semester terms are all billed for tuition, and a study abroad program fee.

    Maymester and Summer Faculty-Led Program Billing
    Registration and billing for faculty-led programming is primarily handled by the college offering the course. Vanderbilt students who participate in a faculty-led program for direct credit will be billed for the following:

    1. Vanderbilt Tuition equivalent to summer hours of credit earned
    2. Program Fee (this covers housing and administrative costs abroad)
    3. Study Abroad Administrative Fee

    Summer Billing
    Vanderbilt students who participate in a GEO summer program for direct credit will be billed for the following:

    1. Vanderbilt Tuition equivalent to summer hours of credit earned
    2. Program Fee
    3. Study Abroad Administrative Fee

    Semester Billing
    Vanderbilt students who participate in a GEO semester program for direct credit will be billed for the following:

    1. Vanderbilt Tuition
    2. Program Fee
    3. Study Abroad Administrative Fee

Most semester programs include housing, the cost of which is included in the fees listed on the fee sheet. Financial aid and most scholarships for semester study will be applied to the cost of the semester abroad.

Student Records

Vanderbilt and GEO staff are precluded from giving out private information regarding students, including grades, student status, and health details, according to the Family Educational Rights and Privacy Act (FERPA).

HTH Health Insurance Policy

All students study abroad on Vanderbilt-approved programs are automatically enrolled in HTH Worldwide health plan. This coverage is mandatory and cannot be waived, and the cost is included in the study abroad administrative fee. Some program provider such as CIEE or IFSA-Butler may provide an additional insurance for the duration of their study abroad programs. The reason that HTH is mandated on top of the program's insurance is that the program-provided coverage does not meet Vanderbilt's minimum standards. More information about HTH coverage.

Visa Waiver Form

Students who will be studying Italy on GEO-sponsored programs have the option of getting their student visa through our office. Please read and return the Visa Waiver Form if you would like the Global Education Office to help you get your student visa.

Housing Abroad Policy

Housing arrangements for students enrolled in direct-credit study abroad programs vary according to the local provider. Vanderbilt requires students to reside in program-provided housing where available, for issues of program design, safety and security. Most direct-credit programs offer such arrangements, and many offer several options from which to choose. Students enrolled in Vanderbilt-approved programs may seek independent living arrangements only where program-provided housing is unavailable.
